By accessing or using LoomHQ, you agree to comply with this Policy in addition to the LoomHQ Terms of Service.

Our objective is simple: provide a secure, reliable and trusted governance platform for every organisation using LoomHQ.

LoomHQ is designed to support professional governance, programme management, portfolio management and project delivery.

Examples of permitted use include:

• Decision Management
• Change Control
• Assurance Reviews
• Executive Reporting
• Audit Management

The platform must only be used for legitimate business activities.

Users may use LoomHQ to:

• Manage projects and portfolios
• Record governance information
• Collaborate with authorised team members
• Submit and review RAID items (Risks, Assumptions, Issues, Dependencies)
• Generate governance reports
• Manage actions, decisions and change requests
• Review audit history and compliance records
• Use check-in and reporting tools provided within the platform

You must not use LoomHQ to:

• Upload, store or transmit unlawful, harmful, threatening, abusive, defamatory or fraudulent content
• Impersonate any person or organisation
• Gain unauthorised access to any system, account or data
• Circumvent or attempt to disable any security features
• Upload viruses, malware or any malicious code
• Use automated tools to scrape, harvest or extract data without permission
• Conduct unauthorised penetration testing or vulnerability scanning
• Share login credentials with unauthorised individuals
• Process personal data in a manner incompatible with applicable data protection law
• Violate any applicable laws or regulations

All content submitted to LoomHQ must:

• Be accurate and relevant to the governance or project management context
• Not contain offensive, discriminatory or inappropriate material
• Not infringe any intellectual property rights
• Not include sensitive personal data beyond what is necessary for the platform's purpose

Organisation Administrators are responsible for ensuring that users within their organisation meet these content standards.

You are responsible for:

• Keeping your login credentials secure and confidential
• All activity performed under your account
• Reporting any suspected unauthorised access to your Organisation Administrator immediately
• Logging out of shared or public devices after each session

When using LoomHQ, you agree to:

• Handle personal data in accordance with applicable data protection law, including UK GDPR
• Only upload data that you are authorised to process within the platform
• Not use the platform to store special category personal data (e.g. health or biometric data) unless expressly agreed with Jones Innovation Group Limited

Jones Innovation Group Limited reserves the right to:

• Monitor platform usage for compliance with this Policy
• Investigate suspected breaches
• Suspend or terminate access where a breach is identified or suspected
• Remove content that violates this Policy
• Report illegal activity to relevant authorities

We will always aim to act proportionately and fairly in enforcement decisions.

Breaching this Policy may result in:

• Immediate suspension or permanent termination of your account
• Removal of your organisation from the platform
• Legal action where appropriate
• Notification to relevant regulatory authorities

If you believe someone is violating this Policy, please report it promptly:

• Via the in-Platform support request system
• By emailing support@loomhq.io

We take all reports seriously and will investigate in confidence.

We may update this Policy from time to time to reflect changes in the platform, legal requirements, or best practice.

We will notify users of material changes via email or in-Platform notification. The "Last Updated" date at the top of this page will always reflect the most recent revision.
